Position Title:                  Secretary

Location:                         New Britain, CT

Relocation:                      No

Position Type:                 2-3 month temporary position

Salary:                             $13 – $14 Per Hour D.O.E.

 

SUMMARY:

 

Our friends at the Central Connecticut State University have asked for Hallmark to hire and provide the services of an experienced Secretary to assist them for the next 3 months.  The hours are Monday through Friday 8am-5pm with a ½ unpaid lunch

 

RESPONSIBILITIES:

 

  • Provides overall clerical and customer service support within the Graduate Recruitment and Admissions Office function
  • Assist students and faculty with questions
  • Schedule appointments for the Director
  • Answering the telephone and assisting caller
  • Greet students and faculty
  • Make travel arrangements and type travel forms
  • Type purchase requisitions, order office supplies and items needed for theatre shows
  • Processes online graduate applications and reactivation applications using Axiom, PMS, BiBatch Converter, Banner, and Imaging systems
  • Makes necessary changes to applications upon request; i.e. majors, degrees, advisors, terms, etc.
  • Pulls transcripts to match with application files in the imaging system and banner
  • Enters admissions decisions and advisor information into student information system (Banner)
  • Prints electronic decision letters, labels, and invoices (Graduate Admissions Letter Generator)
  • Sends out weekly missing documents letters via email merge
  • Scans documents and routes documents using imaging system
  • Makes corrections in banner identified in weekly error reports
  • Checks and responds to daily emails and phone calls
  • Handles incoming and outgoing mail
  • Update program sheets when necessary
  • Take and type staff meeting minutes

 

 

EXPERIENCE AND SKILLS:

  • 5+ years of commercial experience as a secretary
  • MS office suite software experience required
  • Exceptional written and verbal communication skills
  • Ability to multitask and work with interruptions
  • Ability to learn to work with various computer applications
  • Experience working in a public service setting
  • Education Department or prior school experience is a plus
  • High school diploma required; AS or BS degree is a plus
